# Jobs

A **Job** is the work or appointment your team plans to complete for a customer. Jobs turn a qualified lead or booking into an operational record with a title, status, priority, schedule, service address, notes, and links back to the customer.

## Getting here

In Auto-Respond, open **CRM** → **Jobs**.

## How Jobs are created

- Click **New job** in the Jobs workspace to create one manually.
- Open a saved [Contact](https://auto-respond.com/docs/crm/contacts/) and click **Create job** to start with that customer already linked.
- Click a date in Month view or an empty area in Week view to start a Job with that date prefilled. If one Calendar is selected, its Calendar and business are also prefilled.
- An appointment booked through a supported AI scheduling flow can create a Job automatically. **Built-in Booking** places it on the selected built-in Calendar.

The **Created via** field shows whether a Job was entered manually or created from a lead conversion.

## The Jobs workspace

### Calendar view

The Calendar tab shows scheduled Jobs in three views:

- **Month** - a compact six-week overview.
- **Week** - seven days on an hourly grid.
- **Day** - one day’s hourly agenda.

Use the left and right arrows to move between months, weeks, or days. Calendar colors identify which Calendar owns each Job. Jobs that have a scheduled time but no available Calendar use the neutral **Unassigned** color in **All calendars**.

Click a Job to open its details. In Month view, clicking a date starts a Job for that date. In Week view, clicking an empty grid area does the same. To create a Job while using Day view, click **New job**.

### List view

Each row shows:

- **Job** - title and description.
- **Status** - the current stage of the work.
- **Schedule** - the scheduled start date and time, or a dash when unscheduled.
- **Priority** - Low, Normal, High, or Urgent.

Click a row to open and edit the Job.

### Shared search and filters

- **Search** - matches Job title, service address, or status text.
- **Status** - filters Jobs by status.
- **Priority** - filters Jobs by priority.
- **Calendar** - shows **All calendars** or one built-in Calendar.
- **Clear filters** - clears the search and returns status, priority, and Calendar to their all-inclusive values.

The business switcher also controls both tabs. Choose a specific business to focus on its Jobs and Calendars, or **All businesses** to work across every business you can access. If the selected Calendar does not belong to the new business scope, the selector returns to **All calendars**.

## Creating and editing Calendars

Click **Create new calendar** to configure new booking hours. To edit an existing Calendar, open the **Calendar** selector and click the edit icon beside its name.

See [Calendar setup](https://auto-respond.com/docs/crm/calendars/) for availability, appointment length, information collection, and deletion details.

## Job details

### Main fields

- **Business** - required; controls which Contacts and Calendars are available.
- **Contact** - optional for a manually created Job. Search by name, phone, email, or Contact ID.
- **Title** - required.
- **Description** - the work requested or other context.
- **Status** - where the Job is in its lifecycle.
- **Priority** - Low, Normal, High, or Urgent.
- **Created via** - Manual or Lead conversion.
- **Tags** - flexible labels for internal organization.
- **Notes** - internal Job notes; each note requires a description.
- **Service address** - the location where the work or appointment happens.

### Related records

When available, the Job shows links to its **Contact** and **Original lead**. Use these links to move from the operational record back to the customer or conversation that produced the booking.

## Job statuses

- **Unscheduled** - work exists, but no time is reserved.
- **Scheduled** - a start time is set. A scheduled Job must have a date and time.
- **In progress** - work has started.
- **Completed** - work is finished.
- **On hold** - work is paused but still active.
- **Canceled** - the Job will not proceed.

⚠️

Changing a Job to **Unscheduled**, **Completed**, or **Canceled** clears its scheduled start and end time, so it no longer appears on the Calendar. If you only need to pause active work while keeping its slot, use **On hold**.

Jobs cannot currently be deleted from the app. Use **Canceled** when you need to close a Job that will not happen.

## Scheduling a Job

You can schedule with or without a built-in Calendar.

### With a built-in Calendar

1. Set the Job’s status to **Scheduled**.
2. Choose a **Calendar**.
3. Pick a start date.
4. Choose one of the Calendar’s available slots.

The Calendar supplies the start and end time based on its timezone, weekly hours, and appointment length. Slots already reserved by scheduled, in-progress, or on-hold Jobs are not offered.

### Without a Calendar

Leave **Calendar** empty and enter the start date/time and end date/time manually. The end cannot be earlier than the start.

A manually timed Job appears when **All calendars** is selected, but it is not tied to one Calendar’s availability rules or color.
