How to automatically respond to Yelp business messages

If you manage a Yelp Business page, you know the feeling: you open Yelp at the end of a busy day and see a string of unanswered customer messages from hours ago. Some of those customers have already hired someone else.

This guide walks through every option for automatically responding to Yelp business messages, from Yelp’s own built-in tools to third-party AI platforms, so you can stop losing leads to slow response times.

Option 1: Yelp’s built-in auto-reply feature

Yelp Business has a basic automatic response feature built into the platform.

How to enable it

  1. Log in to your Yelp for Business account at biz.yelp.com
  2. Go to Inbox, then click the Inbox Settings gear icon
  3. Under “Auto-Response,” toggle the feature on
  4. Write your auto-response message (this goes out to every new Yelp message)
  5. Save your settings

Where the built-in auto-reply falls short

It’s better than nothing, but Yelp’s native auto-reply is limited. It sends the same message to every inquiry regardless of what the customer asked. Someone reporting a plumbing emergency gets the same reply as someone asking about your hours. There’s no follow-up, no qualification, no CRM logging, and no ability to schedule appointments.

This is fine if you get a handful of Yelp messages per month and just want to acknowledge them. It doesn’t work well for service businesses trying to actually convert those inquiries into booked jobs.

Option 2: third-party AI auto-responder

For service businesses that want Yelp leads to turn into actual revenue, the better approach is a third-party AI platform built for this specific use case.

How Auto-Respond.com works for Yelp

Step 1: Create your account Go to auto-respond.com  and sign up for a free trial.

Step 2: Connect your Yelp Business account In your dashboard, go to Platforms, add Yelp, and authorize the connection. Takes about 2 minutes.

Step 3: Configure your business information Tell the AI about your business: what services you offer, your pricing ranges, service area, hours, emergency availability, and common customer questions. This is what the AI draws from when generating responses.

Step 4: Set up response templates or enable AI chat

You can go the template route, where you write responses for common scenarios and the AI picks the right one based on message content. For example, a plumbing emergency template might say:

“Got your message about the [issue]. This sounds urgent. We handle [issue type] same-day. I’ll have someone reach out within 30 minutes with our next available emergency slot. Call [phone] directly if you can’t wait.”

Or you can enable full AI chat, where the system handles the entire conversation dynamically without pre-written templates.

Step 5: Configure follow-up sequences Set up what happens when leads don’t reply. A typical cadence: immediate response on day 1, follow-up on day 3, another on day 7, and a final message on day 14.

Step 6: Connect your CRM (optional but recommended) Sync Yelp leads to GoHighLevel, HousecallPro, FieldPulse, Workiz, or any CRM via webhook.

Step 7: Enable the voice agent (optional) Configure outbound AI calls to phone leads who provide their number in the Yelp conversation.

Step 8: Test Send yourself a test Yelp message from a different account and verify the AI response arrives within 60 seconds.

Writing auto-responses that actually convert

Whether you use Yelp’s native tool or a third-party platform, the message itself is what determines whether the lead responds or moves on.

Bad vs. good auto-responses

A bad auto-response: “Thank you for contacting us. We will get back to you as soon as possible.”

This is almost useless. It doesn’t reference what the customer asked, doesn’t give them any information, and doesn’t move the conversation forward.

A good auto-response: “Thanks for reaching out about [their specific issue]! We work in [area] and this is the type of job we handle regularly. Can I ask a couple quick questions to get you a more accurate estimate?”

This works because it acknowledges what the customer said, establishes relevance, and gives them a reason to reply.

Response examples by service type

For HVAC or plumbing emergencies:

“Got your message about the [specific issue]. Based on what you’re describing, this needs same-day attention. I can have a tech contact you within 30 minutes to confirm availability. If you haven’t found anyone yet, call [phone] directly and mention this is an emergency.”

For quote requests:

“Hi! We handle [service type] in [area] regularly and would love to help. To give you an accurate quote, could you share [2-3 project-specific details]? Happy to do a quick phone call if that’s easier.”

For general inquiries:

“Hi there! We’re [Business Name], a [trade] company serving [area] for [X] years. What’s the job you have in mind?”

For after-hours messages (10 PM - 7 AM):

“Thanks for reaching out. We saw your message and wanted to make sure you’re not left waiting. Our team will follow up first thing in the morning. If this is an emergency, our after-hours line is [phone].”

Tracking your auto-response performance

Once automation is running, keep an eye on these numbers:

Response rate is the percentage of Yelp messages that get a reply. Should be 100%.

Response time is how fast the first reply goes out. Target: under 60 seconds.

Engagement rate is the percentage of customers who reply to your auto-response. Well-written AI responses see 50-70% reply rates.

Conversion rate is the percentage of Yelp leads that turn into booked jobs. Without automation, most service businesses convert 15-22% of Yelp leads. With good auto-response, that range moves to 35-55%.

Common questions about Yelp auto-response

Will Yelp penalize me for using an auto-responder? No. Yelp doesn’t penalize fast responses. Fast response times are actually correlated with better Yelp placement. What Yelp penalizes is spam, fake reviews, and policy violations, which auto-respond.com doesn’t do.

Can I tell Yelp customers my response is automated? You don’t need to disclose it. Well-written AI responses are hard to distinguish from human ones. Customers care about getting a helpful reply quickly, not how it was generated.

What’s the difference between basic auto-reply and AI auto-response? Basic auto-reply sends one static message to every inquiry. AI auto-response reads each message, understands the context, and generates a relevant reply, then continues the conversation.

How long does setup take? Yelp’s built-in auto-reply: 5 minutes. Auto-respond.com: 15-30 minutes including CRM integration.

What if I’m getting very few Yelp messages? That actually makes automation more important, not less. Missing even 1-2 Yelp leads per month at $500-2,000 per job adds up fast.

The short version

Checking Yelp manually once or twice a day doesn’t cut it. Generic “thanks for your message” auto-replies barely help. What works is sub-60-second responses that address what the customer actually asked, AI chat that handles qualification, CRM integration so nothing gets lost, and follow-up sequences for leads that go quiet.

Auto-respond.com does all of this starting at $99/month.
