HousecallPro
The HousecallPro integration creates customers in your HousecallPro account for every lead Auto-Respond handles. When enough detail is collected, it can also create a job for the customer with notes and estimate line items, so your team has everything they need to dispatch.
The HousecallPro card is on any source’s Messaging Settings → Integrations tab.
What gets synced
Every customer pushed into HousecallPro includes:
- First name
- Last name
- Mobile number
- Company (when provided)
- Notes (includes the inquiry details)
- Address
When a job is created, it can also include estimate line items based on what the lead asked about.
Connecting HousecallPro
Open the integration
In Auto-Respond, open the source → Messaging Settings → Integrations tab → HousecallPro card.
Paste your HousecallPro API token
Click Connect and paste your HousecallPro API token into the field. You can generate an API token in HousecallPro under your company settings.
Save and validate
Click Save, then click Validate Connection. If the token is correct, you’ll see a success message. If not, HousecallPro’s error is shown inline.
Turn on the Enable toggle
Nothing is sent to HousecallPro until Enable is on.
Options
Enable
Turns the integration on or off for this source. Default: off.
Inherit from parent
Only shown on a location with a parent business. When on, the location uses the parent’s HousecallPro settings. When off, it overrides them.
Create customer only when contact info is captured
Default: off.
- When on — The HousecallPro customer is only created after a phone or email is collected.
- When off — The customer is created at first contact, even before contact info is shared.
Create only for new leads
Default: off.
- When on — If a matching customer already exists in HousecallPro, they aren’t touched.
- When off — Existing customers are updated with any new info Auto-Respond has.
Include source name
Default: off.
- When on — The source name is included in the customer notes so your dispatchers can see where the lead came from.
- When off — Source isn’t included.
Validate Connection
Re-tests your API token.
Disconnect
Removes the API token. Confirmation required.
Matching and deduplication
HousecallPro customers are matched by phone and email. With Create only for new leads on, existing customers are left untouched.
A note on appointment booking
HousecallPro also powers appointment scheduling inside Auto-Respond’s AI Assistant and Voice Agent — so if your voice agent or AI text flow books an appointment, HousecallPro is the calendar being read and written. That is configured separately under the AI Assistant and Voice Agent settings, not on this Integrations card. This page only covers customer and job creation for inbound leads.
Disconnecting
Open the HousecallPro card → click Disconnect → confirm. The API token is cleared.
Troubleshooting
- “Validation failed” / invalid token — The API token is wrong or was revoked. Generate a new one in HousecallPro.
- No customers appearing — Confirm Enable is on and check your Create customer only when contact info is captured setting.
- Jobs not being created — Jobs are only created when enough info (service, address) is collected. If the conversation doesn’t capture those, only the customer record is created.
- Duplicate customers — Usually caused by leads reaching out without contact info. Turning on Create customer only when contact info is captured prevents this.
