ServiceTitan Integration
The ServiceTitan integration sends new Auto-Respond leads into ServiceTitan CRM as lead forms. It carries the customer details and job context your team needs, while preventing the same Auto-Respond lead from being submitted twice.
This page covers CRM lead sync. If you also use ServiceTitan for voice-agent scheduling, configure that separately under Voice Agent Scheduling Integrations.
What the integration sends
When the available information is present, the ServiceTitan lead form includes:
- Customer name
- Email address and phone number
- Full project address, when street, city, state, and ZIP code are all available
- The Auto-Respond source or location name
- Lead description and project details
- Requested job names and additional information
- Team memos from the lead record
The address is only attached when all required address fields are available. This avoids submitting a partial address that ServiceTitan cannot use reliably.
Connect ServiceTitan
Get the Tenant ID
Ask a ServiceTitan admin to open Settings > Integrations > API Application Access and copy the Tenant ID.
Get the application credentials
In the ServiceTitan Developer Portal, open the API application for this integration. Copy the Application Key into the App Key field, copy the Client ID, and generate a Client Secret.
Allow CRM Leads access
Ask your ServiceTitan admin or support contact to give the application CRM Leads read and write access. The required scopes are tn.crm.leads:r and tn.crm.leads:w.
Open the integration in Auto-Respond
Open a source, then go to Messaging Settings > Integrations > CRM > ServiceTitan.
Save and enable
Enter the Client ID, Client Secret, App Key, and Tenant ID, then click Save credentials. Auto-Respond validates the credentials before saving them. After the connection succeeds, turn Enabled on for the source.
The ServiceTitan API application must have access to CRM Leads. This connector submits a lead form and does not create a ServiceTitan contact directly.
When a lead is submitted
The connector can run when a new lead arrives, when contact information is captured, or when an AI call finishes, based on the source’s integration triggers. The first successful submission stores the ServiceTitan lead ID on the Auto-Respond lead. Later events skip another submission, preventing duplicate ServiceTitan lead forms.
Updating or disconnecting credentials
Open the ServiceTitan card to update its credentials. The Client Secret is not displayed again, so enter it whenever you save an updated connection.
To disconnect, expand the saved connection, click the delete button, and confirm. Disconnecting clears the credentials and disables the integration for that source.
Troubleshooting
- Credentials fail to save: confirm all four fields are present and belong to the same ServiceTitan API application and tenant.
- Permission or authorization error: ask the ServiceTitan admin to confirm the application has
tn.crm.leads:randtn.crm.leads:w. - Integration is connected but no lead appears: confirm Enabled is on for the source and review the latest integration error on the card.
- Address is missing in ServiceTitan: Auto-Respond only sends the address when street, city, state, and ZIP code are all available.
- A later phone number did not create another lead: the integration intentionally creates one ServiceTitan lead form per Auto-Respond lead.
