PipeDrive
The PipeDrive integration creates persons (Pipedrive’s name for contacts) in your Pipedrive account for every lead Auto-Respond handles. Their name, email, phone, and postal code are written through automatically, so your pipeline always reflects what’s come in.
The PipeDrive card is on any source’s Messaging Settings → Integrations tab.
What gets synced
Every lead sent to Pipedrive includes:
- Name
- Phone number
- Postal code (written into a custom field on the person)
Connecting PipeDrive
Open the integration
In Auto-Respond, open the source → Messaging Settings → Integrations tab → PipeDrive card.
Paste your Pipedrive API token
Click Connect and paste your Pipedrive API token. You can find your token in Pipedrive under your user profile → Personal preferences → API.
Save and validate
Click Save. The token is validated automatically when you save — if it’s wrong, Pipedrive’s error is shown right on the card. You can also click Validate Connection later to re-check.
Turn on the Enable toggle
Nothing is sent to Pipedrive until Enable is on.
Options
Enable
Turns the integration on or off for this source. Default: off.
Inherit from parent
Only shown on a location with a parent business. When on, the location uses the parent’s PipeDrive settings. When off, the location overrides them.
Create customer only when contact info is captured
Default: off.
- When on — The Pipedrive person is only created once the lead has shared a phone number or email.
- When off — The person is created at first contact, even if you don’t have their phone or email yet.
Create only for new leads
Default: off.
- When on — If a Pipedrive person already matches on phone or email, Auto-Respond skips the lead and doesn’t touch the existing record.
- When off — Existing persons are matched and updated with any new info Auto-Respond has.
Include source name
Default: off.
- When on — The source name (e.g., “Thumbtack – Main”) is added to the person in Pipedrive.
- When off — The source name isn’t included.
Validate Connection
Re-tests your API token against Pipedrive.
Disconnect
Removes the token and turns the integration off. Confirmation required.
Matching and deduplication
Pipedrive persons are matched by phone or email. With Create only for new leads off, an existing person is updated. With it on, the existing person is left alone.
Disconnecting
Open the PipeDrive card → click Disconnect → confirm. The API token is cleared.
Troubleshooting
- “Validation failed” / invalid token — The Pipedrive token is wrong, expired, or was deleted. Generate a new token in Pipedrive and paste it.
- No persons appearing in Pipedrive — Check Enable is on, check your Create customer only when contact info is captured setting, and confirm your Pipedrive user has permission to create persons.
- Duplicates — Turn on Create only for new leads if you’re seeing duplicates from leads that were created manually in Pipedrive.
- Postal code missing — Pipedrive stores postal code on a custom field. Check that your Pipedrive account has the postal-code custom field available on the Person entity.
