Lead Statuses

Every lead in Auto-Respond has a status. The status is shown as a color-coded dropdown in the Lead Status column of the Leads table and in the header of the Lead Details dialog. Statuses give you a consistent way to triage leads, filter the inbox, and track a prospect from first contact to a closed outcome.

Getting here

In Auto-Respond, go to Leads. The Lead Status column on each row shows the current status. Click the dropdown to change it, or open the lead and use the status dropdown in the dialog header.

The seven statuses

Answered (green)

A business reply has been sent to this customer — either manually by a teammate or automatically by the AI assistant. Use this as the default “we’ve responded, waiting on the customer” state.

No Answer (red)

No business reply has been sent yet. New leads where nothing has gone out typically sit here until someone (or the AI) replies.

Follow-up (orange)

You’ve manually flagged this lead for follow-up. Set this yourself when a lead needs a check-in, a callback, or a next action from your team.

Scheduled Messages (purple)

A scheduled message is queued to go out for this lead at a future time. This status is set automatically when you apply a scheduled-message template to a lead. It clears to a different status once the scheduled message sends or you cancel it.

Meeting (blue)

A meeting, call, or appointment has been scheduled with this customer. Set this manually when you’ve booked something on the calendar so the lead shows up clearly in your pipeline.

Done (white / gray)

The lead is closed. Use this for any end state — won the job, lost the job, not a fit, spam, duplicate, or otherwise resolved. Keeping active leads out of Done makes the rest of your inbox easier to work.

Bot Follow-up (yellow)

The system has queued an automatic follow-up to go out for this lead. This status is set automatically — you do not normally pick it yourself. It appears while an automatic follow-up is pending and clears once the follow-up has been sent or the customer replies.

Who sets what. You set Answered, No Answer, Follow-up, Meeting, and Done manually from the dropdown. Scheduled Messages is set for you when you apply a scheduled message. Bot Follow-up is set for you when the system queues an automatic follow-up.

Changing a lead’s status

You can change status in two places:

The change saves immediately and the row updates for every teammate who has the inbox open.

Filtering by status

The Lead status filter in the toolbar is a multi-select — pick any combination to narrow the list. For example, filter to Follow-up + Meeting to see only the leads you need to act on today, or filter to No Answer to find leads that still need a first response.
